1. Booking and Deposit Requirements
To confirm your booking for any trekking, tour, or expedition package, a non-refundable deposit of 20% to 30% of the total trip cost is required per person at the time of reservation. The remaining balance must be paid in full prior to or upon arrival in Kathmandu before the trip departure. Bookings made within 14 days of departure require full payment at the time of confirmation.
2. Payment Methods and Surcharges
We accept payments via international wire transfer, credit card (Visa, MasterCard), or cash in major currency. All transaction fees, bank transfer charges, and card surcharges (typically 3.5% to 4% for credit card payments) are the responsibility of the client and must be covered in addition to the package price.
3. Cancellation and Refund Policy
If you need to cancel your trek, notice must be submitted in writing. Cancellations received more than 30 days prior to departure forfeit only the initial deposit. Cancellations made between 15 and 29 days before departure incur a 50% cancellation fee. Cancellations made within 14 days of departure or no-shows are subject to a 100% cancellation fee with no refund. Unused services, early completion of treks, or voluntary withdrawal during the journey are non-refundable.
4. Trip Alteration and Cancellation by the Company
We reserve the right to alter, delay, or cancel any itinerary due to unforeseen circumstances beyond our control, including force majeure events, natural disasters, extreme mountain weather, flight delays, landslides, or political unrest. In the event of a full cancellation by us prior to departure, you will receive a full refund or the option to transfer your booking to an alternative date or package.
5. Mandatory Travel Insurance and Emergency Evacuation
Comprehensive travel insurance is compulsory for all travelers participating in high-altitude treks above 3,000 meters. Your policy must explicitly cover high-altitude mountain trekking, medical expenses, emergency helicopter evacuation, mountain rescue, and trip cancellation. Proof of insurance must be provided to us before setting out on the trail.
6. Passports, Visas, and Permits
You are responsible for ensuring that your passport is valid for at least 6 months beyond your intended departure date from Nepal and contains sufficient blank pages for entry visas. While we arrange necessary trekking permits (TIMS, National Park, and Restricted Area Permits), clients are responsible for obtaining their tourist visa upon arrival or prior to travel.
7. Health, Medical Fitness, and Assumption of Risk
Trekking in mountain environments involves inherent risks including altitude sickness, physical exertion, harsh weather, and remote conditions far from immediate hospital facilities. By booking with us, you confirm that you are physically fit and have disclosed any pre-existing medical conditions. You assume all personal risks associated with wilderness travel, extreme environments, and mountain terrain.
8. Authority of the Guide and Conduct
While on trek, the decision of the designated lead guide or expedition leader is final on all matters impacting safety, route choice, and group well-being. If a client exhibits illegal behavior, refuses to comply with safety guidelines, or compromises group safety, the guide reserves the right to terminate that individual's participation immediately without refund.
9. Limitation of Liability
Our company, its directors, employees, and local partners act solely as agents arranging accommodations, transportation, permits, and guiding services. We accept no liability for personal injury, illness, death, loss or damage to personal belongings, flight delays, extra expenses caused by weather disruptions, or events beyond our reasonable control.
10. Governing Law and Dispute Resolution
These Terms and Conditions are governed by the laws of Nepal and the Nepal Tourism Board regulations. Any disputes, claims, or legal actions arising out of or in connection with our services shall be subject to the exclusive jurisdiction of the court system of Nepal.
